JOB DETAILS
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive administrative support to senior leadership. This role involves managing schedules, coordinating projects, and facilitating effective communication across companies and leadership groups. The ideal candidate will be proactive, detail-oriented, and possess exceptional organizational skills.
Duties
- Manage and maintain detailed calendars using Microsoft Outlook Calendar scheduling meetings, appointments, and events with precision.
- Coordinate and organize a variety of projects, ensuring deadlines are met through effective task prioritization and follow-up.
- Provide executive administrative support by preparing reports, drafting correspondence, and managing communication channels with professionalism and courtesy.
- Assist with event planning for company functions or meetings, including venue arrangements, catering coordination, and logistical support.
- Support personal assistant duties as needed to facilitate executives’ personal and professional commitments seamlessly.
- Utilize office software tools like Microsoft Office Suite (Word, Excel, PowerPoint) to produce high-quality documents and presentations.
- Facilitate the signing of documents through platforms like Adobe and DocuSign while ensuring confidentiality and accuracy in all transactions.
Experience
- Proven experience as an executive assistant or in a similar administrative role supporting senior management or executives.
- Demonstrated proficiency with office management software including Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills with the ability to multitask effectively; experience with project coordination is highly desirable.
- Excellent typing skills coupled with exceptional proofreading and transcription abilities to produce error-free documents swiftly.
- Prior experience handling calendar management via Microsoft Outlook Calendar or similar tools.
- Background in clerical work such as filing, data entry, customer service is preferred.
- Outstanding communication skills demonstrating professionalism in phone etiquette and interpersonal interactions.
Pay: $30.00 – $45.00 per hour
