Responsibilities

  • Greet visitors and clients professionally at the front desk, ensuring a warm and friendly atmosphere
  • Manage multi-line phone systems, answer inquiries, direct calls, and take accurate messages
  • Handle data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records
  • Perform clerical duties such as filing, proofreading documents, and organizing office supplies
  • Assist with calendar management and scheduling appointments for staff members or executives
  • Support office management activities including inventory tracking, ordering supplies, and maintaining cleanliness
  • Provide excellent customer service by addressing inquiries promptly and courteously
  • Support bookkeeping tasks such as basic invoicing and expense tracking when needed
  • Maintain organized files both digitally and physically to ensure quick retrieval of information
  • Demonstrate strong phone etiquette, organizational skills, and time management to prioritize tasks effectively

Experience

  • Prior office experience in administrative or clerical roles is highly preferred
  • Proven ability to handle multi-line phone systems and front desk responsibilities with professionalism
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools required
  • Experience with QuickBooks or bookkeeping software is advantageous
  • Strong organizational skills with attention to detail in proofreading, data entry, and filing tasks
  • Excellent customer service skills with a friendly demeanor and effective communication abilities
  • Previous experience in medical or dental receptionist roles is beneficial but not mandatory
  • Ability to manage time efficiently while juggling multiple responsibilities in a busy environment
