The Administrative Assistant provides high-level administrative and operational support to the Chief Executive Officer within a fast-paced healthcare environment. You will gain hands-on experience in business operations, client communication, and project management while working with a supportive team. This role requires exceptional organizational skills, discretion, and the ability to manage complex scheduling, communications, and executive priorities while maintaining strict confidentiality in compliance with healthcare regulations. Key Responsibilities

  • Proactively manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements
  • Coordinate internal and external meetings, including board meetings and executive leadership sessions
  • Prepare agendas, briefing materials, presentations, and reports for executive use
  • Serve as a primary point of contact between the CEO and internal/external stakeholders
  • Draft, edit, and proofread correspondence, emails, and executive communications
  • Facilitate communication across departments, physicians, staff, and external partners
  • Screen phone calls, prioritize messages, and handle inquiries with professionalism and discretion
  • Demonstrates a proactive problem solver mentality; not only finds problems but brings solutions to the table
  • Assist with strategic initiatives and special projects as directed by the CEO
  • Assist with holiday party planning, internal staff celebrations/luncheons, investor meetings and functions
  • Coordinate potential investor and board meetings, including logistics, materials, and minutes
  • Maintain records for governance and compliance purposes
  • Supporting executive leadership team with administrative needs as required
  • Handle sensitive patient, organizational, and financial information in accordance with HIPAA and organizational policies
  • Ensure adherence to healthcare regulatory requirements in documentation and communication

Qualifications

  • Associate or Bachelor’s degree in Business Administration, Healthcare Administration, or related field preferrable. Equivalent practical experience in other professional fields will be fully considered
  • 2-5+ years of administrative support experience, preferably in healthcare
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Exceptional organizational, multitasking, and time-management skills
  • Excellent verbal and written communication skills
  • Experience supporting C-level executives in a hospital or healthcare system
  • Knowledge of healthcare operations, terminology, and regulatory requirements (e.g., HIPAA)
  • Experience coordinating board-level or governance activities
  • Discretion and integrity with highly confidential information
  • Attention to detail and accuracy
  • Ability to prioritize in a fast-paced, high-pressure environment
  • Professionalism and strong interpersonal skills
  • Problem-solving and proactive decision-making
  • Office setting within a healthcare facility
  • May require occasional extended hours to support executive schedules and board meetings

Pay: $55,000.00 – $65,000.00 per year
