Job Description
JOB SUMMARY
We are seeking a detail-oriented and organized Office Assistant to support our daily administrative operations. This role is essential in maintaining efficient office workflows, providing excellent customer service, and ensuring smooth communication across departments. The ideal candidate will possess strong computer skills, office management experience, and the ability to handle multiple tasks with professionalism and accuracy. Bilingual abilities are a plus to assist diverse client and staff interactions.
Duties
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems to direct calls efficiently and assist callers promptly
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and correspondence
- Schedule appointments, manage calendars, and coordinate meetings for staff or clients
- Handle bookkeeping tasks using QuickBooks or similar software, including invoicing and expense tracking
- Support office management activities such as supply ordering, mail distribution, and maintaining office supplies
- Provide customer support via phone or email, addressing inquiries or concerns professionally
- Assist with clerical duties such as typing reports, organizing files, and maintaining records
Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Strong organizational skills with excellent time management abilities
- Experience with data entry, filing systems, and proofreading documents accurately
- Knowledge of QuickBooks or similar bookkeeping software is desirable
- Exceptional customer service skills with professional phone etiquette
- Office management experience including calendar management and administrative support roles
- Familiarity with medical or dental receptionist duties is a plus
- Personal assistant or administrative experience demonstrating multitasking ability and discretion
- Computer literacy with the ability to adapt quickly to new software or systems
