ABOUT JOB

 

The Executive Assistant provides high-level administrative support to the President and CEO, serving as a key partner in managing daily operations, strategic initiatives, and organizational effectiveness. This role also includes office management responsibilities to ensure smooth, efficient, and professional day-to-day functioning of the office environment.

Essential Functions and Basic Duties

Confidential Administrative Support: Perform a wide variety of complex, confidential, and high-level administrative tasks requiring discretion, sound judgment, and initiative; Serve as a trusted liaison to the professional staff, volunteer leadership, public officials, membership organizations, and external stakeholders.

Calendar and Schedule Management: Proactively manage and optimize the President and CEO’’s calendar, including scheduling meetings, prioritizing commitments, and coordinating with internal and external stakeholders.

Board and Strategic Support: Provide comprehensive support for the President and CEO’s involvement with internal and external boards, committees, and advisory groups, including preparing materials, recording and producing meeting minutes, tracking action items, and following up on deliverables.

Communications, Correspondence, and Record Keeping: Draft, edit, and manage professional communications (emails, letters, reports, and presentations) that require diplomacy, persuasion, and strategic messaging; Maintain organized files of important administrative and governance documents.

Meeting Planning and Execution: Plan and coordinate on-site and off-site meetings, including logistics, venue coordination, agenda development, presentation materials, and follow-up activities.

Stakeholder Coordination: Handle incoming correspondence, information requests, and inquiries with professionalism and efficiency..

Experience:

  • Customer Service: 5 years (Preferred)
  • Microsoft Office: 5 years (Required)
