ABOUT JOB

 

We are hiring our first Executive Assistant — a new position created to provide hands-on operational and administrative support across the organization, with a primary focus on the Executive Director and the property management side of our business. This is a varied, fast-paced role that will look different week to week depending on where we are in the academic year.

What You’ll Do

  • Provide administrative support to the Executive Director and broader leadership team, including email triage, calendar coordination, and follow-up tracking
  • Coordinate vendor and contractor scheduling — communicating service visits, tracking follow-through, and keeping relevant parties informed
  • Support accounting and bookkeeping functions, including data entry, AR/AP assistance, and related administrative tasks
  • Enter and maintain data in Buildertrend (our property management platform) and other systems
  • Prepare documents, correspondence, and reports as needed

What We’re Looking For

Experience in a specific industry matters less to us than attitude, aptitude, and work ethic. We’re happy to train the right person. That said, you’ll need:

  • Solid computer skills and comfort learning new software quickly — the majority of this role is computer-based (Google Workspace, Microsoft Office Suite, Buildertrend)
  • Strong attention to detail — this work involves financial data, contracts, and client communications where accuracy matters
  • A proactive, problem-solving mindset — the ability to assess a situation, think independently, and act without waiting to be told what to do next
  • Calm under pressure — when things get busy (and they will), we need someone who steadies the ship, not someone who adds to the noise
  • Clear, professional communication — you’ll be a point of contact for vendors, contractors, and clients
  • Flexibility and a team-first attitude — no task is beneath you, and no department is off-limits

Nice to Have (Not Required)

  • Background in property management, real estate, or a related field
  • Familiarity with student housing, Greek life operations, or higher education environments
  • Accounting experience or coursework

Compensation & Benefits

  • $25.00/hour, full-time
  • Health insurance and additional benefits after a 90-day probationary period
  • Retirement plan eligibility after one year
