Job Description

ABOUT JOB

We’re looking for a highly proactive Administrative Assistant to partner with senior HR.

If you love anticipating needs, creating structure out of complexity, and taking pride in flawless execution, this role will put you at the center of our people and talent work. You are energized by enabling others, passionate about operational excellence, and hold a high bar for your own work.

Responsibilities

  • Proactively manage complex calendars for multiple executives and leaders across time zones, aligning time with key business, team, and broader Talent priorities.
  • Own high-volume meeting support (all-hands, leadership reviews, cross-functional sessions): scheduling, agendas, logistics, note-taking, and tracking follow-ups and actions.
  • Coordinate domestic and international travel and process accurate, timely expense reports.
  • Pull and organize basic reports and trackers (e.g., from HR systems or spreadsheets) to support visibility into key metrics, timelines, and Talent programs.
  • Maintain and optimize team tools: shared drives, trackers, distribution lists, Google Groups, team org chart, Slack channels, and other communication channels.
  • Assist with planning and executing team events and off-sites, including vendor/venue sourcing, logistics, and on-site execution support.
  • Support executive-ready presentation deck development and end-to-end meeting preparation (content, logistics, and follow-up materials).
  • Partner on the creation and refinement of presentations and materials for key talent and business discussions.
  • Manage ad hoc data, reporting, and project requests to deliver insights that support talent planning and decision-making.
  • Liaise with Workplace to support in-office space planning and team setup as needed.
  • Handle ad hoc projects and sensitive information with professionalism, discretion, and sound judgment.

Qualifications

  • 4+ years as an administrative or executive assistant supporting multiple leaders, ideally in a fast-paced, global, matrixed environment.
  • Experience supporting Human Resources or Talent leaders preferred; interest in HR/people-related work is a plus.
  • Demonstrated ability to anticipate needs, take initiative, be self-motivated, and drive work forward with minimal direction.
  • Strong executive-level written and verbal communication skills.
  • Highly organized, detail-obsessed, and comfortable juggling multiple priorities and stakeholders at once.
  • Comfort pulling reports and working with basic data (e.g., spreadsheets, dashboards); strong Google Suite skills required (Calendar, Docs, Sheets, Slides, Drive).
  • Proven ability to handle confidential information and sensitive topics with discretion.
  • Responsive and able to work effectively across multiple time zones and cultures.

The hourly range for this role is $38.46 – $71.39.
