ABOUT JOB

 

This role supports daily operations through scheduling, customer communication, billing workflows, and administrative coordination. You will work closely with leadership and field teams to keep projects organized, invoices processed on time, and systems running smoothly.

This is an ideal role for someone who is highly organized, dependable, and comfortable working independently in a structured environment.

Key Responsibilities

  • Manage scheduling for inspections, crews, and follow-ups
  • Answer inbound calls and respond to customer inquiries professionally
  • Coordinate job start dates and ongoing communication
  • Track active projects and update internal systems
  • Maintain CRM records and job pipelines

Billing & Bookkeeping Support

  • Generate and send invoices to customers and insurance carriers
  • Track accounts receivable and follow up on past-due balances
  • Communicate professionally regarding billing and payments
  • Enter and reconcile transactions in QuickBooks
  • Apply payments and track deposits
  • Assist with basic bookkeeping (categorizing expenses, receipts, etc.)
  • Support month-end reporting and financial organization
  • Request and manage customer reviews
  • Monitor key performance metrics
  • Assist leadership with task tracking and follow-ups
  • Contribute to process improvement initiatives

Qualifications

  • 2+ years experience in administrative, operations, or coordination roles
  • Experience using QuickBooks required
  • Background in invoicing, billing, or bookkeeping preferred
  • Home services experience a plus
  • Strong organizational skills and attention to detail
  • Professional phone and written communication
  • Comfortable using CRM systems and scheduling software
  • Self-motivated and dependable
  • Ability to manage multiple priorities effectively

Compensation & Schedule

  • $25–$30/hour based on experience
  • Performance-based bonuses
  • 25-30hours per week to start
