ABOUT JOB

 

This position provides critical high-touch administrative support to senior leaders in a fast-paced corporate environment. The role requires a proactive professional who can anticipate needs, manage complex scheduling across multiple time zones, and handle shifting priorities with minimal direction. Success in this position depends on exceptional organizational abilities, discretion in handling confidential information, and the capability to coordinate seamlessly with internal stakeholders and external partners. The individual will serve as a trusted partner to leadership, ensuring smooth day-to-day operations through meticulous attention to detail and follow-through on key priorities.


Job Responsibilities:

  • Manage complex executive calendars including multi-time-zone scheduling and frequent last-minute changes
  • Coordinate meetings and prepare materials for internal and external engagements
  • Handle travel arrangements and expense management for leadership
  • Track action items and ensure timely follow-through on executive priorities
  • Prepare invoices, reports, memos, letters, financial statements, and other documents as needed
  • Coordinate logistics for team offsites and special events
  • Open, sort, and distribute incoming correspondence including emails and other communications
  • Prepare responses to routine inquiries and correspondence
  • Perform general office duties including ordering supplies and maintaining records management systems
  • File and retrieve corporate documents, records, and reports
  • Maintain organized systems for information management while ensuring confidentiality
  • Provide bookkeeping support as needed

 


Requirements:

  • 2-4 years of executive or administrative assistant experience
  • 2+ years of experience managing complex calendars for senior leaders
  • 2+ years of demonstrated administrative operations and coordination experience
  • Prior experience working in a corporate environment
  • Previous experience using Microsoft productivity tools in a professional setting
  • Exceptional verbal and written communication abilities
  • Strong multi-tasking and time management capabilities
  • Outstanding customer service and interpersonal skills
  • Ability to work independently with minimal supervision
  • Proactive problem-solving and anticipation of needs
  • High level of discretion in handling confidential information
  • Proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint
  • Strong organizational skills and attention to detail
  • Flexibility to adapt to changing priorities and last-minute requests

 


Additional Details:

  • Location: Remote
  • Duration: 3 months
  • Pay Range*: $24.50 – $28 per hour
  • Weekly Schedule: 40 hours
