ABOUT JOB

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support daily business operations. This role requires someone who is responsive, tech-savvy, and able to manage multiple systems and workflows efficiently in a fast-paced, client-facing environment.

Key Responsibilities

  • Email Management
  • Monitor and respond to client and team emails in a timely, professional manner
  • Organize inboxes, flag priorities, and ensure no communication gaps
  • CRM & Client Management
  • Maintain and update client records in CRM systems
  • Track client progress, payments, and communication history
  • Ensure all client profiles are properly tagged and organized
  • Project & Task Management
  • Manage tasks and workflows using Asana
  • Keep projects on schedule and ensure deadlines are met
  • Assist in implementing and maintaining operational systems
  • Administrative Support
  • Assist with scheduling, calendar coordination, and reminders
  • Support internal operations and process improvements
  • Take detailed notes during meetings and convert them into actionable tasks
  • Content & Design Support
  • Create simple, clean graphics using Canva (emails, PDFs, social assets, etc.)
  • Assist with formatting documents, presentations, and client materials

Required Skills & Qualifications

  • Proficiency in:
  • CRM systems
  • Asana
  • Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
  • Canva
  • Strong written communication skills (clear, professional, timely)
  • High level of organization and attention to detail
  • Ability to multitask and prioritize effectively
  • Self-starter with strong accountability and follow-through
  • Comfortable working remotely and managing time independently

Preferred Qualities

  • Experience in a client-facing or service-based business
  • Ability to anticipate needs and solve problems proactively
  • Strong sense of urgency and responsiveness during working hours

Work Expectations

  • Availability for 25–30 hours per week
  • Consistent communication during working hours
  • Reliability and professionalism in handling sensitive client information
  • Ability to adapt to evolving systems and workflows

Pay: $20.00 – $25.00 per hour

Experience:

  • Administrative: 2 years (Preferred)

Language:

  • English (Required)
