Job Description
ABOUT JOB
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support daily business operations. This role requires someone who is responsive, tech-savvy, and able to manage multiple systems and workflows efficiently in a fast-paced, client-facing environment.
Key Responsibilities
- Email Management
- Monitor and respond to client and team emails in a timely, professional manner
- Organize inboxes, flag priorities, and ensure no communication gaps
- CRM & Client Management
- Maintain and update client records in CRM systems
- Track client progress, payments, and communication history
- Ensure all client profiles are properly tagged and organized
- Project & Task Management
- Manage tasks and workflows using Asana
- Keep projects on schedule and ensure deadlines are met
- Assist in implementing and maintaining operational systems
- Administrative Support
- Assist with scheduling, calendar coordination, and reminders
- Support internal operations and process improvements
- Take detailed notes during meetings and convert them into actionable tasks
- Content & Design Support
- Create simple, clean graphics using Canva (emails, PDFs, social assets, etc.)
- Assist with formatting documents, presentations, and client materials
Required Skills & Qualifications
- Proficiency in:
- CRM systems
- Asana
- Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
- Canva
- Strong written communication skills (clear, professional, timely)
- High level of organization and attention to detail
- Ability to multitask and prioritize effectively
- Self-starter with strong accountability and follow-through
- Comfortable working remotely and managing time independently
Preferred Qualities
- Experience in a client-facing or service-based business
- Ability to anticipate needs and solve problems proactively
- Strong sense of urgency and responsiveness during working hours
Work Expectations
- Availability for 25–30 hours per week
- Consistent communication during working hours
- Reliability and professionalism in handling sensitive client information
- Ability to adapt to evolving systems and workflows
Pay: $20.00 – $25.00 per hour
Experience:
- Administrative: 2 years (Preferred)
