ABOUT JOB

 

We are seeking a Front Desk Administrative Assistant to be the first point of contact for our clients and guests. This role requires a warm, professional communicator with excellent organizational skills and the ability to manage multiple priorities in a fast-paced, deadline-driven environment.

You will handle incoming calls, schedule appointments, prepare correspondence, assist with document handling, and ensure the front office operates efficiently and reflects the professionalism of our firm.

Compensation & Benefits:

  • Starting salary: $40,000–$48,000, commensurate with experience

Key Responsibilities:

  • Route calls accurately to the appropriate team members; take clear, detailed messages and ensure timely follow-up.
  • Manage prospect scheduling and consultation coordination for partners and managers.
  • Schedule internal and client meetings, ensuring calendar accuracy.
  • Maintain front desk and general office cleanliness.
  • Stock and organize supplies, prepare outgoing mail, and manage incoming deliveries.
  • Prepare dictations, type and proof correspondence, letters, and memos with precision and confidentiality.
  • Scan, save, and properly label client documents.
  • Assist with file organization and document retention.
  • Place professional, friendly follow-up calls to clients as directed.
  • Provide administrative support to accounting and client coordinator teams as needed; assist with firm events and logistics.
  • Perform additional administrative or project-based tasks as assigned by supervisors or firm leadership, ensuring flexibility and responsiveness to changing priorities.
  • Handle sensitive financial and client information discreetly at all times.

What We’re Looking For:

  • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel).
  • Excellent verbal and written communication; polished phone etiquette.
  • Meticulous attention to detail, ability to multitask and prioritize effectively.
  • Reliable, punctual, and maintains a calm, friendly demeanor in a busy office.
  • Able to follow procedures, prioritize tasks, anticipate needs, and complete work with minimal supervision.
  • Comfortable handling confidential information with discretion

Job Type: Full-time

Pay: $40,000.00 – $48,000.00 per year
