ABOUT JOB

 

Our company seeking a dependable, organized, and proactive Office Assistant to support our Office Manager, Project Coordinators, and day-to-day office operations.

This position is ideal for someone who enjoys a variety of responsibilities, is highly organized, and can effectively manage administrative tasks in a fast-paced construction environment. The Office Assistant will play a key role in helping keep projects organized, maintaining office operations, and supporting field and office staff.

Key Responsibilities

  • Provide administrative support to the Office Manager and Project Coordinators
  • Answer and direct incoming phone calls and emails to team members
  • Assist with scheduling appointments, inspections, meetings, and project-related activities
  • Prepare, organize, scan, and file project documents
  • Maintain organized digital and physical filing systems
  • Assist with data entry and updating company records
  • Help track permits, inspections, and project milestones
  • Coordinate deliveries, material orders, and office supplies

Construction Project Support

  • Follow up with municipalities, utility companies, subcontractors, and vendors regarding project requirements and inspections
  • Assist with permit applications, document submissions, and project paperwork
  • Support project coordinators with administrative tasks related to active construction projects
  • Maintain project files, plans, permits, inspection reports, and related documentation
  • Help obtain and organize certificates of insurance, subcontractor paperwork, and compliance documents

Office Operations

  • Manage office inventory and order supplies as needed
  • Assist with receiving packages and coordinating deliveries
  • Support staff with general office needs and special projects
  • Perform other administrative duties as assigned

Qualifications Required

  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Proficiency with Google Workspace, Dropbox, Mac
  • Ability to prioritize tasks and manage multiple responsibilities
  • Professional attitude and strong customer service skills

Preferred

  • Experience working in a construction office or similar administrative environment
  • Familiarity with permits, inspections, and construction documentation

 

Pay: From $27.50 per hour
