ABOUT JOB

 

. We are seeking an organized, professional, and customer-focused Office Manager & Client Services Coordinator to become a key member of our growing team.

This role is ideal for someone who enjoys helping people, staying organized, and being at the center of daily business operations. You will serve as the first point of contact for clients while supporting service coordination, office operations, vendor management, Microsoft 365 administration, and overall team success.

The ideal candidate is personable, detail-oriented, proactive, and comfortable balancing administrative responsibilities, customer service, communication, and technology-related tasks in a fast-paced environment.

Responsibilities

Client Communications & Service Coordination

  • Answer and route incoming client calls
  • Create, update, and manage service tickets
  • Monitor support inboxes and client communications
  • Provide clients with updates regarding service requests and projects
  • Schedule onsite visits, meetings, and conference calls
  • Escalate urgent issues to the appropriate team members
  • Assist with dispatch and technician scheduling
  • Ensure service requests are properly documented and assigned

Administrative & Office Operations

  • Support daily office operations and administrative functions
  • Coordinate meetings and maintain calendars as needed
  • Prepare and organize documentation and records
  • Screen sales calls and route inquiries appropriately
  • Assist leadership team with operational and administrative tasks
  • Maintain vendor, client, and internal contact records
  • Coordinate office supplies and facility-related needs

Microsoft 365 Administration

  • Create, disable, and modify user accounts
  • Assign and manage Microsoft 365 licenses
  • Reset passwords and assist with basic user administration requests
  • Manage shared mailbox and distribution group requests
  • Assist with onboarding and offboarding employees
  • Escalate technical issues to the engineering team when necessary

Vendor & ISP Coordination

  • Open and manage support cases with internet service providers and vendors
  • Coordinate service appointments and installations
  • Follow up on outstanding issues until resolution
  • Assist with procurement and vendor communications
  • Track vendor requests and ensure timely follow-up

Billing & Administrative Support

  • Assist with invoicing and account administration
  • Track purchase orders and vendor invoices
  • Support contract and renewal administration
  • Maintain accurate client records and documentation
  • Assist with collection and billing follow-up when needed

Qualifications

  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Professional phone presence and customer service skills
  • Ability to work independently and prioritize multiple tasks
  • Strong attention to detail and follow-through
  • Positive attitude and team-first mentality
  • Proficiency with Microsoft Office and Microsoft 365
  • Experience working in a fast-paced business environment

Preferred Qualifications

  • Prior experience working for a Managed Service Provider (MSP)
  • Experience with Microsoft 365 user administration
  • Experience with ticketing systems such as Autotask, ConnectWise, Halo, or similar platforms
  • Experience coordinating vendors, internet providers, and service requests
  • Previous office management, operations, customer service, or administrative experience
  • Familiarity with basic IT terminology and business technology environments

Pay: $65,000.00 – $75,000.00 per year
