ABOUT JOB
We are seeking a highly organized, motivated, and professional Office Assistant to join our team. This position plays a key role in supporting daily office operations, coordinating project documentation, and assisting with administrative tasks related to active development and construction projects.
Responsibilities
- Maintaining excellent customer service standards.
- Entering Invoices
- Hiring Subs
- Manage multi-line phone systems, answer inquiries, and transfer calls efficiently using proper phone etiquette.
- Scheduling Deliveries
- Handle data entry, filing, and document proofreading to ensure accuracy and organization.
- Maintain calendars, schedule appointments, and coordinate meetings using tools like Google Workspace and Microsoft Office.
- Support bookkeeping tasks such as invoicing or basic record-keeping using QuickBooks or similar software.
- Assist with clerical duties including photocopying, scanning, and preparing correspondence or reports.
- Provide general office management support by organizing supplies, managing mail distribution, and ensuring the workspace remains tidy.
Skills
- Proven experience with office management, construction management, administrative support or clerical roles.
- Prior experience in construction, real estate, property management, or office administration is preferred but not required
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Knowledge of front desk operations, phone etiquette, and multi-line phone systems is essential.
- Experience in customer service roles with a focus on customer support and professional communication.
