ABOUT JOB

 

We are seeking a dynamic, organized, and customer-focused Front Office Assistant .

Key ResponsibilitiesFront Desk & Reception Management

  • Answer, screen, and direct incoming phone calls.
  • Manage incoming and outgoing mail, courier services, and deliveries.
  • Maintain visitor logs and office records.

Administrative Support

  • Schedule meetings, appointments, and conference room bookings.
  • Coordinate calendars for management and project teams.
  • Prepare, format, and maintain documents, reports, and correspondence.
  • Assist with filing, scanning, data entry, and record management.

Office Operations

  • Monitor office supplies and place orders as required.
  • Coordinate with vendors and service providers for office maintenance.
  • Ensure the reception and common areas remain organized and professional at all times.
  • Support onboarding activities for new employees.

HR & Accounting Support

  • Assist with maintaining employee records and documentation.
  • Support interview scheduling and candidate coordination.
  • Assist with timesheet collection and administrative tracking.
  • Coordinate employee travel and accommodation arrangements when required.

Client & Project Coordination

  • Assist project managers and engineering teams with administrative tasks.
  • Track project-related documentation and correspondence.
  • Support proposal submissions and document distribution.
  • Maintain confidentiality of company and client information.

QualificationsRequired

  • High School Diploma, Associate Degree, or Bachelor’s Degree in Business Administration or a related field.
  • 1–3 years of experience in front office, receptionist, administrative, or office support roles.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Professional appearance and customer-service mindset.

Preferred

  • Experience in engineering, construction, architecture, consulting, or professional services firms.
  • Experience with scheduling software and office management systems.
  • Familiarity with document management and administrative procedures.

Pay: $45.00 – $60.00 per hour
