ABOUT JOB
We are seeking a dynamic, organized, and customer-focused Front Office Assistant .
Key ResponsibilitiesFront Desk & Reception Management
- Answer, screen, and direct incoming phone calls.
- Manage incoming and outgoing mail, courier services, and deliveries.
- Maintain visitor logs and office records.
Administrative Support
- Schedule meetings, appointments, and conference room bookings.
- Coordinate calendars for management and project teams.
- Prepare, format, and maintain documents, reports, and correspondence.
- Assist with filing, scanning, data entry, and record management.
Office Operations
- Monitor office supplies and place orders as required.
- Coordinate with vendors and service providers for office maintenance.
- Ensure the reception and common areas remain organized and professional at all times.
- Support onboarding activities for new employees.
HR & Accounting Support
- Assist with maintaining employee records and documentation.
- Support interview scheduling and candidate coordination.
- Assist with timesheet collection and administrative tracking.
- Coordinate employee travel and accommodation arrangements when required.
Client & Project Coordination
- Assist project managers and engineering teams with administrative tasks.
- Track project-related documentation and correspondence.
- Support proposal submissions and document distribution.
- Maintain confidentiality of company and client information.
QualificationsRequired
- High School Diploma, Associate Degree, or Bachelor’s Degree in Business Administration or a related field.
- 1–3 years of experience in front office, receptionist, administrative, or office support roles.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Professional appearance and customer-service mindset.
Preferred
- Experience in engineering, construction, architecture, consulting, or professional services firms.
- Experience with scheduling software and office management systems.
- Familiarity with document management and administrative procedures.
