Job Description

JOB SUMMARY

Our client  is seeking a dependable, organized, and detail-oriented Office Assistant to join our team. . We are looking for someone with a positive attitude, strong organizational skills, and the ability to work in a fast-paced office environment.

As an Office Assistant, you will provide administrative support to the Project Coordination and Accounting departments while helping ensure the office operates efficiently. The ideal candidate is professional, motivated, and committed to producing accurate, high-quality work in a timely manner.

Responsibilities

  • Provide administrative support to the Project Coordinator and Accounting Department.
  • Answer, screen, and direct incoming phone calls while providing general information to callers.
  • Receive, sort, and distribute daily mail, deliveries, and courier packages.
  • Create and maintain project logs and miscellaneous project documentation.
  • Perform general clerical duties, including filing, photocopying, data entry, ordering office supplies, and preparing transmittals.
  • Edit, proofread, distribute, and track contracts, insurance documents, and other project-related paperwork.
  • Prepare project binders, labels, tabs, and filing systems.
  • Communicate professionally with clients, vendors, and subcontractors via phone and email.
  • Conduct research and gather information as requested.
  • Assist with additional administrative tasks to support the office and project teams.

Qualifications

  • Previous office or administrative experience required; construction industry experience is preferred but not required.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Docs.
  • Strong organizational and time management skills.
  • Excellent proofreading, written, and verbal communication skills.
  • Professional demeanor with exceptional attention to detail.
  • Ability to prioritize tasks, learn new responsibilities quickly, and adapt to changing priorities.
  • Team player with a willingness to support staff as needed.
  • High school diploma or equivalent.

Job Type: Full-time

Pay: $23.00 – $25.00 per hour
