ABOUT JOB
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Our firm is an Architecture practice specializing in custom residential design. This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and enhance overall efficiency. As the backbone of our administrative functions, you will be the point of contact for clients and contractors, ensuring a positive and professional experience. Your proactive approach, exceptional organizational skills, and strong communication abilities will help keep our office running smoothly and effectively. This paid position is ideal for someone eager to grow their career in office management and customer support within a vibrant work environment.
Responsibilities
- Operate phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Assist with email inquiries, and provide professional responses to assist the firm Principal
- Perform data entry tasks using Microsoft Office Suite, Google Workspace, and other office software to maintain accurate records
- Assist with filing, document proofreading
- Support calendar management by scheduling appointments, meetings, and coordinating events with attention to detail
- Provide excellent customer service by supporting clients, vendors, and team members with professionalism and responsiveness
- Assist with and manage social media posts on platforms such as Instagram.
Experience
- Proven office management or administrative experience in a fast-paced environment
- Excellent writing and verbal communication skills
- Self-motivated and efficient time management skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills, and Adobe PDFs.
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Familiarity with clerical tasks such as filing, proofreading documents, and maintaining records
- Previous experience in customer support or customer service roles that require excellent phone etiquette and interpersonal skills
Pay: $22.00 – $29.59 per hour
