ABOUT JOB

 

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs and managing our company’s general administrative activities. Excellent communication and customer service skills are essential, as well as the ability to multitask in a fast-paced environment.

 

Hourly Rate: $25.00

 

Essential Duties and Responsibilities:

  • Answer and transfer calls through a multi-line phone system in a polite and friendly manner when needed
  • Maintain office area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
  • Maintain employee records and respond to reference requests
  • Review Employee Handbook with new staff
  • Manage vendors and administer HR services including payroll, health, life and disability benefits, retirement savings plan, and Metro benefits
  • Administer staff payroll and benefit enrollment, orientation and exit processes
  • Establish working relationships with key contacts, both internally and externally, to help improve service levels
  • Receive deliveries; sort and distribute incoming mail as needed
  • Take inventory of supplies, order common items and restock PPE
  • Maintain the general office filing system
  • Perform other reasonably related duties as assigned by immediate supervisor and other management as required

 

Education and/or Work Experience Requirements:

  • Proven experience as front desk representative, agent or relevant position
  • Excellent written and verbal communication skills
  • Customer service oriented
  • Knowledge of office management
  • Proficient in English (oral and written)
  • Excellent knowledge of MS Office (Outlook, Team, Word, Excel)
  • Ability to multi-task, take initiative and anticipate needs of others
  • Good organizational skills
  • Problem-solving skills
  • Familiarity with office machines (e.g. fax, printer etc.)
  • High School diploma; additional qualifications will be a plus
