We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties:
- Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly.
- Perform data entry and maintain accurate filing systems
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.
- Provide excellent customer service by supporting client inquiries via phone, email, or in person while maintaining a friendly and professional demeanor.
- Proofread documents for accuracy and clarity, ensuring all communications are polished before distribution.
- Handle clerical duties such as photocopying, faxing, mailing, and organizing files to keep the office running smoothly.
- Support personal assistant responsibilities when needed, including travel arrangements or special project coordination.
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable.
- Excellent phone etiquette with experience managing multi-line phone systems.
- Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry tasks.
- Prior experience in customer service or medical/dental reception is advantageous.
- Demonstrated ability to manage time effectively in a fast-paced environment.
- Knowledge of office management practices and general administrative procedures.
