ABOUT JOB

 

We’re seeking a proactive, self-motivated Administrative Assistant who takes initiative, anticipates needs before being asked, and owns their work from start to finish.

The Administrative Assistant drives day-to-day administrative and clerical support while keeping general office operations running smoothly. This role is ideal for a results-oriented professional who takes pride in staying ahead of the details, solving problems independently, and serving as a dependable point of contact for employees and visitors.

Key Responsibilities

  • Drive payroll accuracy by reviewing timesheets and resolving discrepancies proactively.
  • Own and maintain employee personnel files and HSE and HRIS data, ensuring accuracy and confidentiality.
  • Take initiative to keep daily office operations clean, organized, and professional.
  • Manage the location’s fleet vehicles, including scheduling, cleaning, and ensuring they are always ready for use.
  • Anticipate and order office supplies and coordinate routine office services before needs become urgent.
  • Welcome visitors and handle deliveries and office communications with professionalism.
  • Schedule and coordinate meetings, training sessions, and conference rooms.
  • Lead document preparation, data entry, and general administrative tasks with precision.
  • Provide calendar, travel, and expense support, staying a step ahead of the team’s needs.
  • Manage internal communications, postings, and employee notices.
  • Take ownership of company events, meetings, and conferences—coordinating logistics such as venue booking, catering, and equipment setup, and providing hands-on, on-site support to ensure everything runs flawlessly.
  • Step up to provide administrative support across multiple departments as needed.

Qualifications

Required Qualifications

  • High school diploma or equivalent.
  • Basic understanding of payroll processes and HR administrative functions.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational skills and exceptional attention to detail.
  • A self-starter mindset with the ability to prioritize, multitask, and work independently with minimal direction.
  • Ability to handle sensitive information with professionalism and discretion.
  • Strong communication and customer service skills, with a proactive, can-do approach.

 

Pay: From $25.00 per hour
