JOB DETAILS

 

We are seeking a highly organized and motivated Administrative Assistant to join our growing team. The ideal candidate will be responsible for providing exceptional administrative support, ensuring smooth operations, and delivering excellent customer service. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities

  • Answer phone calls, emails: manage inquiries, and provide accurate information to clients and staff.
  • Manage the full lifecycle of warranty claims, collaborating with local teams, suppliers, and customers to ensure timely resolution
  • Perform clerical duties and support the local team with various tasks such as filing, data entry, preparing and maintaining organized records.
  • Assist with scheduling appointments and managing calendars for team members.
  • Support parts sales, inventory control, and other office staff as needed
  • Create job orders that accurately describe the customers needs and expectations
  • Communicate efficiently and with detailed knowledge to service technicians the requirement of each job order, and the customers expectations.
  • Maintain office supplies inventory and place orders when necessary.
  • Provide customer support by addressing client concerns and resolving issues promptly.
  • Utilize computer literacy skills to manage databases and perform basic troubleshooting of office equipment.
  • Assist with onboarding activities, training coordination, and general departmental administration as required
  • Handle sensitive information in a confidential manner.
  • Assist in planning and organizing company events, meetings, and conferences.
  • Coordinate catering, venue bookings, and logistics for events.
  • Other duties as assigned

Requirements

  • High school diploma or equivalent
  • ]Proficiency in Google Business platform and Microsoft Office in addition to general computer knowledge
  • Experience with warranty administration, records management, and customer communication is preferred
  • Strong phone etiquette and excellent verbal and written communication skills are essential.
  • Experience with data entry and maintaining accurate records
  • Ability to work independently as well as part of a team in a dynamic environment.
  • Strong organizational skills with attention to detail to ensure accuracy in all tasks.
  • Professional customer service and interpersonal skills.
  • Ability to maintain confidential information and records.
  • Ability to identify issues, gather information, and follow through to resolution.
  • Commitment to continuous improvement and process efficiency.

Job Type: Full-time

Pay: $22.00 – $27.00 per hour

Experience:

  • Microsoft Office Platforms: 3 years (Preferred)
  • Google Docs: 1 year (Preferred)
  • Administrative: 3 years (Required)
