ABOUT JOB
We are seeking a highly organized, detail-oriented Administrative Assistant to join our team.
This position plays an important role in keeping our personal property practice running smoothly. You will be responsible for helping ensure that our clients’ personal property tax returns and related filings are prepared, tracked, and submitted to the appropriate taxing jurisdictions accurately and on time.
You’ll work directly alongside our Personal Property Tax Consultants, assisting with the administrative side of their work and helping manage the many deadlines, documents, jurisdictions, and client requests that come with handling personal property tax across the country.
What You’ll Do
- Maintain filing calendars and monitor important deadlines to ensure returns and other required documents are submitted on time.
- Prepare, organize, and distribute personal property tax returns and supporting documentation.
- Communicate with taxing jurisdictions regarding filing requirements, deadlines, account information, and other administrative matters.
- Track filing statuses and follow up on outstanding items with clients, consultants, and taxing authorities.
- Help identify missing information or documentation needed to complete filings.
- Assist with data entry and maintaining accurate client and property information.
- Provide general administrative support
- Manage multiple clients, jurisdictions, and deadlines while maintaining a high level of accuracy.

- Can effectively manage multiple deadlines and competing priorities.
- Has strong written and verbal communication skills.
- Is comfortable working with spreadsheets, documents, email, and other computer-based systems.
- Learns new software and processes quickly.
- Takes ownership of their work and follows tasks through to completion.
- Communicates professionally with clients, coworkers, and government officials.
- Can work independently while also being a strong team player.
- Understands that accuracy matters when dealing with tax filings and government deadlines.
- Is proactive and willing to ask questions when something doesn’t look right.
Preferred Qualifications
- Previous administrative, office, accounting, tax, or professional-services experience.
- Experience working with government agencies or regulatory filings.
- Experience managing deadlines or high-volume administrative workflows.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Experience with property tax or personal property tax is a plus, but not required. We are willing to train the right person.
