Job Description
JOB SUMMARY
Our client is seeking a Receptionist and Administrative Assistant.
Primary functions and essential responsibilities
Receptionist- Front Desk Responsibilities:
- Open and close reception front desk (8:30AM – 5:30PM)
- Ordering supplies and responding to facilities related requests
- Act as a “go to” point of contact for clients and guests
- Answer incoming calls and routing them to the appropriate parties
- Answer emails regarding facilities and needs of the office
- Reserve conference rooms and coordinate with external catering companies to provide catering for meetings
Administrative Assistant Responsibilities:
- Provide extensive administrative support for professionals i.e. book travel, schedule meetings, prepare expense reports, assist in creating binders, and other general administrative needs.
- Prioritize Outlook calendars for various level professionals, informing them of meeting changes and keeping them on schedule throughout the day.
- Arranging catering as needed
- Register professionals for conferences and networking events
- Other ad hoc requests as needed
- Provide back up support for other administrative professionals in the Collaboration team, including all administrative tasks for each of their primary professionals
Qualifications
Education: Bachelor’s Degree or equivalent work experience required
Experience Required: 2-3 years of experience in a receptionist and administrative role, preferably in a corporate environment
General Requirements:
- Knowledge of Microsoft Office applications (Outlook, Word, Excel and PowerPoint)
- Excellent telephone etiquette
- Professional demeanor and appearance
- Ability to provide exemplary service to clients and co-workers
- Excellent verbal and written communication skills
- Well-organized, with strong attention to detail
- Ability to prioritize work and handling multiple tasks simultaneously
- Flexibility in terms of accepting process changes, variable work volume and new ideas
- A team player with the ability to work with diverse personalities
- Knowledge with Concur a plus
Compensation
The anticipated rate for this position is listed below. Total compensation may also include a discretionary performance-based bonus.
$65,000 – $75,000
