ABOUT JOB
We are seeking a highly skilled and experienced Administrative professional to provide comprehensive support to a fast-paced, globally focused sales organization. This fully remote role is central to keeping leadership and cross-functional teams aligned, organized, and operating efficiently. The ideal candidate is proactive, polished, and personable — someone who thrives in a dynamic environment, builds strong relationships with stakeholders at all levels, and takes pride in delivering exceptional administrative support. Job Responsibilities:
- Manage complex executive calendars, including scheduling and prioritizing meetings across multiple time zones
- Coordinate domestic and international travel logistics, including itineraries, accommodations, and ground transportation
- Process and track expense reports, reimbursements, and budget-related documentation with accuracy and timeliness
- Plan and coordinate meetings, conferences, and events, including preparation of agendas and supporting materials
- Serve as a primary point of contact for internal and external stakeholders, maintaining professionalism and discretion at all times
- Support recurring business cadences and help track action items to ensure organizational follow-through
- Facilitate cross-functional communication and help drive execution across multiple stakeholders and global initiatives
- Manage procurement of office supplies, equipment, and vendor relationships as needed
- Provide general office and administrative support, including document preparation and correspondence
- Complete special projects and ad hoc assignments as directed by leadership
Requirements:
- 5–7 years of administrative or executive support experience required
- 5–7 years of experience with Microsoft Office tools including Outlook, Word, Excel, and PowerPoint
- 5–7 years of experience coordinating travel logistics and managing travel tools
- 5–7 years of experience processing expense reports and managing reimbursements
- Demonstrated experience supporting leaders with global or cross-functional responsibilities
- Proven track record of stability and longevity in previous administrative roles
- Experience in stakeholder-facing or people-facing support roles within large organizations
- Availability to commit to a minimum 12-month engagement, with preference for candidates available for the full 18-month tenure
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Strong calendar management skills with experience supporting senior or executive-level leaders
- Demonstrated experience coordinating complex domestic and international travel logistics
- Proficiency in managing expense reports and reimbursement processes
- Excellent written and verbal communication skills with a professional and polished presence
- Strong phone etiquette and ability to build rapport with stakeholders at all levels
- Highly organized with exceptional attention to detail and the ability to manage competing priorities
- Proactive and self-directed with the ability to anticipate needs and act with minimal supervision
- Ability to maintain confidentiality and exercise sound judgment in sensitive situations
- Comfortable working across global teams and supporting Central Time Zone business hours
Additional Details:
- Location: Remote
- Duration: 12 months
- Pay Range*: $25 – $28.50 per hour
- Weekly Schedule: 40 hours
