ABOUT JOB
We are looking for a reliable, organized, and professional full-time Administrative Assistant to join our office team.
Responsibilities include:
Answering phone calls, scheduling service appointments, following up on collections, ordering parts from suppliers, handling warranty claims, assisting with invoices and office paperwork, and providing general administrative support.
Requirements:
Excel and QuickBooks experience are required. The right candidate should be dependable, organized, professional on the phone, able to multitask, and comfortable working in a busy service-company office.
Duties
- Operate multi-line phone systems, handle incoming calls, screen inquiries, and transfer calls efficiently
- Perform data entry tasks accurately using Microsoft Office Suite, Google Workspace, and other office software, Excel, quickbook
- Support bookkeeping activities using QuickBooks for invoicing, expense tracking.
- Assist with calendar management, scheduling appointments, and meetings.
- Provide excellent customer support through clear communication, prompt responses, and courteous service
- Support office management tasks such as supply ordering, inventory tracking, and maintaining office equipment
- Handle clerical duties including photocopying, scanning, and mailing correspondence
Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette with experience managing multi-line phone systems
- Knowledge of QuickBooks for basic bookkeeping functions
- Demonstrated office management experience with attention to detail
- Effective time management skills to handle multiple responsibilities simultaneously
- Clerical experience including filing, data entry, proofreading, and document preparation
- Familiarity with personal assistant duties such as calendar management and appointment scheduling
- Exceptional customer service skills with a friendly and professional demeanor
- Computer literacy across various platforms with quick adaptability to new software tools
Join us as an Administrative Assistant
Pay: $22–$25 per hour, depending on experience.
