ABOUT JOB
We are a dynamic team of professionals dedicated to accuracy, integrity, and excellence. We are currently seeking an organised and detail-oriented Administrative Assistant/Receptionist to join our team and contribute to our mission of providing outstanding service.
Key Responsibilities:
- Provide administrative support to the accounting team, including scheduling appointments, managing calendars, and coordinating meetings.
- Assist with the preparation and organisation of financial documents, reports and tax returns to be sent for signature.
- Maintain and update client records and databases accurately and confidentially.
- Answer phone calls, respond to inquiries, and direct clients to the appropriate personnel.
- Manage our accounts receivable, trust account and payroll functions.
- Scanning and electronic filing of client records and documentation
- Working cohesively with other admin team members.
- Liaising with clients and following up on information requests.
- Perform other administrative duties as assigned.
Qualifications:
- Proven experience as an administrative assistant or in a similar role, preferably in an accounting or finance environment.
- Proficient and comfortable using Teams/Zoom meetings and liaising with remote staff members.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and accounting software – Xero, XPM, FYI.
- Excellent organisational skills with the ability to manage multiple tasks and prioritise effectively.
- Strong written and verbal communication skills.
- Detail-oriented and capable of maintaining confidentiality.
