Key aspects of the role:
- Customer service – Take initial enquiries by phone and email, follow-up leads, and onboard clients. This involves:
- Being new clients’ first point of contact with the firm
- Outlining our process
- Taking general details
- Scheduling appointments for legal staff
- Sending new clients their onboarding documents (by email, sometimes post)
- Setting up new leads in our practice management software Smokeball
- Additional client contact as required
- Appointment setting and scheduling – You will be the firm’s primary call-handler and manage the legal staff’s calendars. You will schedule appointments logically, taking into consideration time requirements and appointment locations. Familiarity with Greater Brisbane, Gold Coast and Sunshine Coast areas, as well as navigation tools like Google Maps, is ideal.
- Initial documents and lead/matter set-up – You will prepare costs agreements and pre-appointment correspondence. You will create leads and new matters in our practice management software and enter key details.
- Systems savvy – You will be comfortable using Microsoft Outlook, our practice management software Smokeball, the VXT phone system, and new systems as they are implemented.
