ABOUT JOB
we are looking for a detail-oriented and customer-focused Data Entry/Receptionist to join our team.
As a Data Entry/Receptionist, you will be the first point of contact for our clients and visitors and play a key role in maintaining the smooth operation of our office. You will manage incoming calls, greet customers, and handle administrative tasks such as data entry, filing, and assisting with office organization. The ideal candidate will have a friendly demeanor, strong organizational skills, and a solid understanding of office software.
Key Responsibilities:
- Answer incoming calls, direct them to the appropriate department, and respond to customer inquiries in a professional and courteous manner.
- Greet visitors and clients, ensuring a positive first impression and assisting with any requests or directions.
- Perform data entry tasks, including entering customer orders, inventory tracking, and project details into our system.
- Maintain accurate and up-to-date customer and project records in our database.
- Assist with the preparation of quotes, invoices, and purchase orders.
- File and organize documents, ensuring that records are easily accessible.
- Coordinate appointments, meetings, and project schedules as needed.
- Assist with general office duties, including ordering supplies, managing mail, and maintaining office organization.
- Support other departments with administrative tasks as required (e.g., assisting project managers, sales teams, or accounting).
Qualifications:
- Previous experience in a receptionist or data entry role, ideally in the construction, millwork, or manufacturing industry.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Proficiency in Quickbooks and Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment (phones, copier, scanner).
- Familiarity with basic accounting software or project management tools is a plus.
- Excellent written and verbal communication skills.
- Professional phone etiquette and a friendly, customer-oriented attitude.
- Ability to maintain confidentiality and handle sensitive information.
- High school diploma or equivalent; additional administrative certifications or training is a plus.
- Be able to input customer and account data within given deadlines
- Review data for discrepancies or errors and correct inconsistencies in a timely fashion
- Research and obtain information for incomplete documents
- Generate reports, store completed work in designated locations and observe backup procedures
- Scan documents and print files as needed
- Respond to queries for information
- Help with processing HR documents as needed.
- Be able to complete other office tasks (filing, faxing, completing phone calls for supervisors) and other assigned tasks.
