Job Description
JOB SUMMARY
We are seeking a dynamic and highly organized Executive Administrative Support Specialist to join our team. Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings for executive staff with precision and efficiency
- Handle multi-line phone systems, screen calls, and direct inquiries with excellent phone etiquette and professionalism
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
- Support office management tasks
- Assist with bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping and expense tracking
- Facilitate communication across departments by preparing reports, correspondence, and presentations using Microsoft Office and Google Workspace tools
Qualifications
- Proven experience in office management or administrative support roles with a strong background in clerical duties
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and basic computer skills
- Experience working with multi-line phone systems and providing excellent customer service in person or over the phone
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Familiarity with QuickBooks or bookkeeping software is a plus
- Previous experience as a front desk receptionist, medical or dental receptionist, or personal assistant is advantageous
- Excellent typing speed, proofreading skills, and attention to detail to ensure accuracy in all tasks
Job Types: Full-time, Contract
Pay: $30.00 – $45.00 per hour
Expected hours: 8 per week
