ABOUT JOB

 

Our client  is seeking an Executive Assistant to support the President.

Key Responsibilities

  • Own and manage a complex, high-volume calendar with competing priorities, last-minute changes, and significant travel
  • Coordinate all travel logistics including flights, hotels, ground transportation, and itineraries across domestic and international trips
  • Collaborate with President’s core operating team on logistics, relationship management, and strategic initiatives
  • Handle confidential and sensitive information with complete discretion and high degree of professionalism at all times
  • Triage and manage executive inbox, flagging priorities and drafting responses as needed
  • Collaborate with other EAs and internal stakeholders throughout the organization to track and preempt priorities
  • Work with internal team to manage gifting and personalized outreach on behalf of the executive, often for high-profile contacts
  • Ensure the executive is prepared for internal and external meetings, building detailed briefing materials and tracking follow-ups
  • Highly proactive and anticipates needs of the executive and proactively solve problems before they surface
  • Coordinate across internal stakeholders and external contacts to drive follow-through on executive priorities
  • Occasional opportunities to travel as scheduling and President needs necessitate
  • Liaise with family and domestic staff on occasional needs, requests, or special projects to the household

Requirements

  • 6+ years of experience as an Executive Assistant to a founder or C-level executive within a fast-paced organization
  • High responsiveness and flexibility, including availability outside of traditional business hours when the executive is traveling or operating across time zones
  • Enthusiasm for high-importance, high-urgency work and real-time problem solving
  • Strong emotional intelligence and ability to adapt to varying communication and management styles
  • Exceptional organizational skills with a demonstrated ability to manage complexity without dropping details
  • Proactive, anticipatory work style. Solves problems before being asked.
  • Ability to operate with high discretion in all settings
  • Ability to leverage AI tools to improve operating efficiency
  • Strong communicator, both written and verbal, with sound judgment on when to escalate
  • Proficient in Google Workspace, Microsoft Office, Slack and other personal management tools
