Job Description
ABOUT JOB
The Executive Assistant will provide administrative support to Executive(s) and their project team as needed. In addition to general administrative responsibilities, the EA will take part in various ad hoc tasks and projects including, but not limited to, the below:
Primary Responsibilities
- Provide direct administrative support to the Executives, including email correspondence, and generation and distribution of memos, letters, spreadsheets, and forms;
- Provide extensive calendar management utilizing Outlook in order to schedule and/or coordinate client calls, meetings, events, and personal appointments;
- Schedule and coordinate onsite and offsite meetings and logistics for a variety of purposes including; executive meetings, board meetings, external visitors, and candidate interviews;
- Track and help drive completion of key deliverables and follow up on outstanding items to include meeting notes and action items;
- Coordinate and arrange travel itineraries and arrangements including, but not limited to, air and ground transportation, and hotel & dining reservations;
- Draft and prepare written materials including reports, agendas, procedural guides and instructions, and other documents of highly confidential nature;
- Proofread and check documents for completeness, accuracy, and grammar;
- Handle details, access to information and conversations of a highly sensitive nature in confidence;
- Coordinate closely with Talent Acquisition, HR, and other Executive Assistants within JRM;
- Notify the administrator of any approved high-level personnel time off requests;
- Assist the Executive Management Team on ad-hoc assignments as needed.
Qualifications
- At least three years of experience as an Administrative Assistant or Executive Assistant
- Demonstrate strong attention to detail and quality
- Be able to prioritize and understand prioritizations of what the Executive needs to accomplish, be intuitive
- Excellent Resourcefulness; excel at problem-solving, taking initiative, and being very resourceful;
- Exceptional written and verbal communication skills
- You are a team player who knows when to act independently and when to seek second opinions
- Ability & Willingness to learn & understand company business relatively quickly & anticipate needs
Computer Systems
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, and Outlook), and overall tech-savvy
Salary Information
- the annual salary range for this role is $70,000 – $90,000.
