ABOUT JOB

 

We are seeking a dynamic and highly organized Executive Assistant to provide exceptional support to our leadership team. Duties

  • Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements with precision and attention to detail.
  • Prepare, proofread, and organize correspondence, reports, presentations, and other documents to ensure clarity and professionalism.
  • Handle incoming calls using multi-line phone systems with courtesy and efficiency, directing inquiries appropriately while maintaining excellent phone etiquette.
  • Facilitate office management tasks such as filing, data entry, record keeping, and maintaining organized digital and physical filing systems.
  • Support customer service efforts by assisting visitors at the front desk, providing information, and ensuring a welcoming environment.
  • Assist with bookkeeping responsibilities using QuickBooks or similar accounting software to track expenses and manage invoices.
  • Coordinate internal communications and support project management activities to streamline workflows across departments.

Skills

  • Proven experience with office management, administrative support, or clerical roles in a professional setting.
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and data entry skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Familiarity with front desk operations, multi-line phone systems, phone etiquette, proofreading, and calendar management tools.
  • Experience in customer support roles or as a personal assistant is advantageous for understanding client needs and providing exceptional service.
  • Knowledge of office equipment such as fax machines, printers, scanners along with basic bookkeeping (including Bookkeeping software) is preferred.
  • Strong interpersonal skills with an emphasis on professionalism, confidentiality, and positive customer interactions.
