ABOUT JOB
The Executive Assistant (EA) plays a pivotal role in empowering General Managers to effectively deliver on their responsibilities and goals by working closely with senior leaders and the Executive Assistant Network to enable operational and administrative effectiveness.

Duties
It’s an exciting time at icare where no two days are the same; as the EA you will be responsible for:
- Effective diary management including screening meeting requests from internal and external stakeholders, negotiating scheduling times and resolving diary clashes in a way which facilitates optimal use of the General Managers’ time.
- Light inbox monitoring for the General Managers to support informed decision making and planning, including notification of urgent emails and time-sensitive priorities.
- Managing information and coordinating follow up of actions using discretion, initiative and confidentiality to enable sensitive matters to be dealt with appropriately.
- Providing event management support including coordination of logistics, catering, venue and technical equipment management and overall event support.
- Supporting development of communications for your General Managers (for example team newsletters, Town Halls).
- Managing the processing component of procurement activities.
- Effective administration operations support including managing and booking General Manager travel, including coordinating approvals, itineraries and payment.
- Providing onboarding and offboarding logistical support for General Manager direct reports.
- Working collaboratively with the Executive Assistants network to share information and technical knowledge and achieve organisational outcomes aligned to your role.
Skills & Experience
- 3 years + prior EA experience in a government or corporate environment
- Excellent diary, calendar and inbox management for multiple managers
- Strong experience with dealing with key stakeholders (internal & external)
- Confident and excellent people skills – working with different styles and personalities
- Proactive and solution focused approach to problem solving
- Ability to navigate an organisation and network with teams and stakeholders to achieve outcomes
- Highly proficient in Microsoft Office (Outlook, Word, Excel, Powerpoint), Microsoft Teams and Visio
- Experience Using Artificial Intelligence (MS Co-pilot) (highly regarded)
