ABOUT JOB

 

We are seeking a dynamic and highly organized Executive Assistant to join our team! Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive administrative support, including drafting correspondence, proofreading documents, transcribing audio files, and data entry to maintain accuracy and professionalism.
  • Coordinate projects by tracking deadlines, preparing reports, and ensuring all tasks are completed efficiently.
  • Handle office management duties such as filing, organizing documents, managing front desk operations, and overseeing office supplies inventory.
  • Maintain professional phone etiquette on multi-line phone systems; screen calls and direct inquiries appropriately.
  • Utilize bookkeeping tools like QuickBooks for basic financial record keeping and perform clerical tasks such as filing and data entry to support daily operations.
  • Support personal assistant responsibilities for executives including personal scheduling, errands, and confidential task management.

Experience

  • Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and construction.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Sharepoint, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Familiarity with project coordination tools and techniques to manage multiple priorities effectively.
  • Experience with bookkeeping software such as QuickBooks; knowledge of basic bookkeeping principles is a plus.
  • Excellent typing skills with high accuracy; capable of proofreading and transcribing audio or written content efficiently.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously while maintaining attention to detail.
  • Exceptional customer service, vendor and external relationship skills with professional phone etiquette on multi-line systems; experience at a front desk or reception is desirable.
  • Office experience that includes filing systems, office supply management, and handling confidential information securely. Job Type: Full-time

Pay: $70,000.00 – $90,000.00 per year
