Job Description

JOB SUMMARY

 

The Executive Assistant will report to the Chief Human Resources Officer (CHRO) and provide administrative support to up to 4 executives across the business. This role is focused on delivering high-quality executive support through strong organization, communication, and coordination skills in a fast-paced SaaS environment.

The ideal candidate is highly organized, detail-oriented, collaborative, and able to manage multiple priorities while maintaining professionalism and discretion. This position requires strong calendar management, meeting coordination, travel planning, and communication support skills.


Primary Responsibilities

Executive Calendar Management

  • Manage complex calendars for up to 4 executives, including scheduling meetings, resolving conflicts, coordinating priorities, and maintaining focus time where appropriate.

Meeting & Event Coordination

  • Coordinate logistics for leadership meetings, team meetings, offsites, and internal events. Prepare meeting invitations, agendas, materials, and follow-up action items as needed.

Administrative Support

  • Provide day-to-day administrative support including document preparation, correspondence, file organization, and support for presentations and reporting materials.

Communication Support

  • Serve as a professional point of contact for internal and external stakeholders. Ensure timely communication and appropriate follow-up on behalf of supported executives.

Cross-Functional Coordination

  • Partner effectively with other Executive Assistants and business teams to support scheduling alignment, meeting logistics, and company initiatives.

Confidentiality & Professionalism

  • Handle sensitive and confidential information with discretion and professionalism at all times

 

Key Skills and Competencies

  • 3-6 years of Executive Assistant or Administrative Assistant experience supporting senior leaders
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to prioritize multiple tasks and adapt in a fast-paced environment

 

Proficiency with:

  • Microsoft 365
  • Slack
  • Confluence
  • Concur or similar expense management tools

 

Preferred Experience and/or Qualifications

  • Experience supporting leaders in a SaaS or technology company
  • Experience coordinating travel and meetings across multiple time zones
  • Familiarity with basic financial or budget-related process
