ABOUT JOB

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO/Owner and provide shared administrative support to additional executives as needed. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate is a self-starter who anticipates needs, streamline operations, and ensures executives can focus on high-impact work.

Duties and Responsibilities:
  • Meeting & Communication Management
  • Schedule and coordinate internal and external meetings.
  • Prepare meeting agendas, materials, and follow-up summaries.
  • Track action items and ensure timely completion.
  • Serve as a liaison between executives, clients, and internal teams.
  • Administrative & Operational Support
  • Organize and track purchases, expenses, and receipts.
  • Assist with budgeting support and expense reporting.
  • Maintain organized digital filing systems and records.
  • Support light HR administrative functions (review coordination, document tracking, etc.) Event & Conference Coordination
  • Research and register executives for conferences and industry events.
  • Coordinate logistics including travel, accommodations, and schedules.
  • Prepare briefing materials for events and speaking engagements.

Shared Executive Support
  • Provide administrative support to additional executives as needed.
  • Balance competing priorities across multiple stakeholders.
  • Ensure consistency and professionalism in all executive communications.

Education and Experience:
  • 3+ years of experience as an Executive Assistant or similar role (supporting senior leadership preferred)
  • Exceptional written and verbal communication skills
  • Strong organizational and time management abilities
  • High level of discretion and professionalism
  • Ability to multitask and adapt in a dynamic environment
  • Proficiency with tools such as Google Workspace, Microsoft Office, calendar tools, and communication platforms
