ABOUT JOB

 

We are seeking a highly organized and proactive Executive Assistant to support executive leadership in a fast-paced, high-growth environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities with confidence and discretion.

Key ResponsibilitiesCalendar & Scheduling Management

  • Manage and coordinate complex executive calendars, including internal and external meetings, appointments, and personal commitments
  • Provide scheduling support to additional leadership team members as needed
  • Assist in coordinating interviews and supporting the hiring process
  • Support general office operations, including vendor coordination and supply management

Communication & Coordination

  • Draft and send daily communications and updates to ensure alignment across teams
  • Serve as a primary point of contact between leadership, internal teams, and external partners
  • Manage and prioritize incoming communication, ensuring timely and effective responses

Meeting Preparation & Execution

  • Prepare agendas, materials, and technology for meetings
  • Attend key meetings, take detailed notes, and track action items
  • Ensure follow-up on priorities and deadlines discussed in meetings

Sales Reporting & Organization

  • Update and distribute daily performance metrics and reports
  • Maintain organized and accessible company documentation and files

Office Administration & Support

  • Monitor and manage office supply inventory and vendor relationships
  • Provide light technical support and coordinate with IT when necessary

Confidentiality & Professionalism

  • Handle sensitive and confidential information with discretion
  • Maintain a high level of professionalism in all interactions

Qualifications

  • 5+ years of experience in an executive support or administrative role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office, Google Suite, and scheduling tools

Job Type: Full-time

Pay: From $75,000.00 per year
