Job Description
ABOUT JOB
The CEO is looking for a “Right Hand.” Currently, the CEO leads all company marketing efforts in addition to executive duties. We need a high-level Executive Assistant who can execute with excellence and act as a force multiplier. Your goal is to own the administrative and operational “noise” so the CEO can focus on high-level growth, and our marketing strategy.
Responsibilities
- Manage the CEO’s and Csuite calendar using Microsoft Outlook Calendar, coordinating meetings, appointments, and travel arrangements.
- Prepare and proofread correspondence, reports, presentations, and other documents with accuracy and professionalism.
- Handle incoming calls with excellent phone etiquette, screening and directing inquiries appropriately via multi-line phone systems.
- Organize and coordinate company events, meetings, and conferences, including logistics planning and vendor communication.
- Assist with bookkeeping tasks using QuickBooks, including data entry, invoice processing, and expense tracking.
- Support personal tasks for the CEO as needed, acting as a reliable personal assistant to facilitate daily activities.
- Conduct research, transcribe meetings or notes, and perform data entry tasks to support various projects.
- Oversee office management duties such as supply inventory, front desk responsibilities, and maintaining a welcoming environment.
- Utilize office software tools like Microsoft Office Suite for document creation and editing; ensure all materials are proofread thoroughly.
- Coordinate project activities across teams to ensure deadlines are met efficiently while maintaining high organizational standards.
- Manage confidential information with discretion while ensuring compliance with company policies.
Experience
- Proven experience as an executive assistant or in a similar administrative support role within a professional office environment.
- Demonstrated expertise in calendar management, travel arrangements, and event planning.
- Strong proficiency in Microsoft Office (Excel), and office management software such as QuickBooks.
- Excellent typing speed combined with transcription skills for accurate note-taking and documentation.
- Experience with bookkeeping tasks including invoicing, expense reports, and basic bookkeeping using QuickBooks or similar tools.
- Exceptional organizational skills with an eye for detail; ability to prioritize multiple tasks effectively under tight deadlines.
- Outstanding communication skills—both verbal and written—and professional phone etiquette across multi-line phone systems.
- Familiarity with data entry procedures
- Previous experience supporting C-level executives or senior management is highly desirable. Join us to be an integral part of our leadership team! Pay: $24,000.00 – $75,000.00 per year
