ABOUT JOB

 

We are seeking a highly skilled, proactive, and intuitive Executive Personal Assistant to support the CEO.

Key Responsibilities

  • Serve as the primary gatekeeper and right-hand support to three senior executives, managing both business and personal affairs with utmost discretion and efficiency.
  • Maintain and orchestrate intricate calendars, appointments, and logistics—including national and international travel—for business meetings, civic engagements, and family commitments.
  • Coordinate internal and external meetings, conferences, events, and organizational memberships across multiple industries and affiliations.
  • Monitor and manage email communications and voicemails on behalf of executives, ensuring urgent matters are prioritized and resolved quickly; maintain a robust and up-to-date contact database.
  • Anticipate needs and proactively manage a continuous stream of tasks and last-minute changes in a highly unstructured environment.
  • Provide administrative support including data entry, filing, expense tracking, office inventory, and general organization.
  • Be the calming force and organizational anchor for executives with limited tech skills who rely heavily on a paper-based, interpersonal communication style.

Qualifications

  • Minimum of 5 years of executive-level support experience in a fast-paced, often unpredictable business or family-office environment.
  • Superior organizational, multitasking, and time-management skills with a proven ability to meet deadlines and pivot with changing priorities.
  • Strong command of Microsoft Office (Word, Excel, Outlook, PowerPoint); comfort managing multiple devices and manual systems.
  • Impeccable written and verbal communication skills, and sound judgment under pressure.
  • High emotional intelligence, maturity, and professionalism, with an unwavering commitment to confidentiality and discretion.
  • Experience supporting senior executives who are not tech-savvy is strongly preferred.
  • Background in event planning, project management, or marketing is a plus.
  • Must be a self-starter who anticipates needs, sees around corners, and doesn’t wait to be asked.

Pay: Up to $75,000.00 per year
