ABOUT JOB

 

We are seeking a highly skilled, detail-oriented Executive Assistant to support the CEO.

This is a high-level executive support position requiring strong discretion, patience, emotional intelligence, and advanced organizational ability. The role supports the CEO across multiple active business verticals including entertainment, media, lifestyle branding, and business development.

The Executive Assistant serves as a critical operational extension of the CEO, ensuring structure, clarity, and execution across a fast-moving, multi-project environment.

Areas of Support (What You’ll Work On)

You will directly support the CEO across multiple verticals, including:

  • Entertainment & Media Operations (projects, partnerships, initiatives)
  • Business Development & Strategic Partnerships
  • Internal Operations & Executive Workflow Management
  • Cross-functional coordination across active projects and teams

What You’ll Do (Day-to-Day Responsibilities)

  • Manage CEO calendar, coordinating 10–20+ meetings weekly, prioritizing urgency and resolving conflicts
  • Handle 30–60 executive communications daily, including emails, follow-ups, and correspondence
  • Track and manage 15–25 active tasks weekly across multiple business verticals
  • Prepare 5–10 executive briefs, agendas, or summaries weekly
  • Maintain structured follow-up cycles, ensuring action items are addressed within 24–72 hours depending on priority
  • Support execution of special projects, partnerships, and CEO-led initiatives
  • Coordinate logistics for meetings, travel, and high-level engagements
  • Serve as primary liaison between CEO and internal/external stakeholders
  • Ensure all priorities are tracked through completion with full accountability

Operational Tracking & Organization

This role requires strong systems thinking and disciplined execution, including:

  • Maintain a daily CEO task
  • Manage and track 8–12 active tasks at any time, each with clear ownership and deadlines
  • Maintain organized records of:
  • Meeting outcomes and decisions
  • Follow-ups and dependencies
  • Project and task status across all verticals

Strong Candidates Will Demonstrate

  • Ability to manage a lean workload (8–12 active tasks weekly) with full ownership and follow-through
  • Experience in fast-paced executive or entrepreneurial environments with shifting priorities
  • High level of discretion, defined as:
  • Handling confidential business, financial, and strategic information appropriately
  • Exercising judgment on sensitive communications and internal matters
  • Maintaining trust with CEO-level information and relationships
  • Strong organizational discipline with real-time tracking systems
  • Ability to consistently close the loop on all tasks without gaps in execution
  • Strong prioritization skills in environments with competing priorities
  • Self-directed execution with accountability from start to completion
  • Ability to operate as both a support function and independent operator
