Your Role
As the Executive Assistant to the CEO, you will be a trusted right hand to the CEO and provide important support across multiple areas of the company. This role goes beyond traditional executive assistant duties. We are looking for someone highly organized, proactive, resourceful, and adaptable who can confidently support operations, marketing, sales initiatives, administrative responsibilities, and day-to-day executive needs.
This position is ideal for someone who enjoys variety, thrives in a startup/fast-paced environment, and is excited to learn and contribute across different departments. You will help create structure, improve organization, and keep priorities moving forward with minimal direction.
We want someone who is not afraid to speak up, share ideas and insights, and constructively challenge thinking when needed.
Key Responsibilities
- Executive Support: Manage the CEO’s calendar, inbox, meetings, priorities, reminders, and follow-ups to ensure time is used effectively and important tasks don’t fall through the cracks.
- Calendar & Email Management: Organize schedules, coordinate meetings, manage communications, and proactively take action when appropriate.
- Task & Project Management: Help organize, prioritize, delegate, and track tasks across the company using ClickUp and other tools.
- Accountability Partner: Keep the CEO and leadership team aligned on priorities, deadlines, and action items.
- Meeting Coordination: Prepare agendas, document meeting notes, and ensure follow-up items are completed.
- Marketing & Sales Support: Assist with marketing, client communication, lead follow-up, presentations, content preparation, and other business development initiatives as needed.
- Administrative & Personal Assistance: Support both business and occasional personal tasks for the CEO when required.
- Cross-Department Support: Step into different areas of the business as needed.
- Document & Presentation Preparation: Create and organize professional documents, presentations, reports, and spreadsheets.
- Process Improvement: Identify inefficiencies, suggest improvements, and help implement better systems and workflows.
- Technology & Organization: Utilize company systems and digital tools effectively to maintain organization and boost productivity.
What You Bring
Experience
- Previous experience supporting executives, founders, or leadership teams in an Executive Assistant, Operations, Administrative, or similar role.
- Experience working in a startup or fast-paced environment where adaptability and initiative are essential.
- Proven track record managing executive calendars and emails proactively.
Skills
- Exceptional organizational and time-management skills.
- Strong ability to prioritize tasks independently.
- Proficiency with Microsoft 365 (Outlook, Calendar, Word, Excel, PowerPoint).
- Experience using ClickUp for task and project management.
- Familiarity with Canva and Gamma for presentations and content creation.
- Strong written and verbal communication skills.
- Ability to think critically and creatively.
- Quick learner who is comfortable with new systems and business functions.
- Interest in marketing, branding, and sales support is a big plus (formal expertise not required).

Education
- Bachelor’s degree preferred but not required if experience demonstrates the necessary competencies.
