We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive support to senior executives and ensure the smooth operation of their daily activities. Responsibilities
- Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Prepare, proofread, and transcribe documents, reports, and correspondence with precision and attention to detail.
- Organize and facilitate events, meetings, and conferences from planning stages through execution, ensuring all logistics are handled seamlessly.
- Handle phone etiquette professionally across multi-line phone systems, screen calls, take messages, and direct inquiries appropriately.
- Support bookkeeping activities using QuickBooks or similar software; manage invoices, expense reports, and basic office bookkeeping duties.
- Assist with project coordination by tracking deadlines, preparing materials, and following up on action items to ensure timely completion.
- Provide office management support including supply procurement, front desk duties, customer service interactions, and general clerical tasks such as filing and document organization.
Requirements
- Proven experience as an executive assistant or personal assistant in a professional office environment with strong administrative skills.
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
- Strong typing skills along with transcription expertise; excellent proofreading abilities for all written communications.
- Experience with office management tools such as DocuSign for electronic signatures; familiarity with multi-line phone systems is preferred.
- Knowledge of bookkeeping software like QuickBooks; basic accounting or financial data entry experience is advantageous.
- Excellent communication skills with professional phone etiquette; ability to interact courteously with clients and team members alike.
- High level of computer literacy combined with the ability to learn new software quickly.

Pay: $6,000.00 – $8,000.00 per month
