ABOUT JOB

 

We are seeking a dynamic and highly organized Executive Secretary to join our team! This role provides top-level administrative support to the Executive Director and the Board of Commissioners, with additional support as needed for the executive team. The ideal candidate has strong communication, organizational, and project management skills with exceptional attention to detail, as well as maintaining the highest levels of confidentiality and professionalism.

CHARACTERISTICS OF THE WORK

  • Under general supervision of the Executive Director and the Executive Administrator, performs reliable and confidential secretarial work
  • Responsible for performing a variety of secretarial duties and related office administrative needs
  • Work closely with the Office Support and Communications teams
  • Maintain confidentiality and handling of sensitive information

EXAMPLES OF THE WORK

Maintaining the calendar for the Executive Director, including scheduling multiple high-level meetings, proactively resolving scheduling conflicts, ensuring room reservations, agendas, and appropriate attendees are included

  • Screening phone calls and emails on the Executive Director’s behalf
  • Acting as a liaison between the executive team and internal/external stakeholders
  • Managing communication with the Board
  • Organizing board meetings
  • Prepare reports and minutes
  • Confirms meeting scheduling
  • Maintaining databases and records for executive reference and ensure documents and correspondence are handled and filed systematically
  • Supporting event planning processes
  • Other duties as assigned

KNOWLEDGE, ABILITIES AND SKILLS NECESSARY TO THE WORK

  • Considerable knowledge of general office practices, procedures and equipment
  • Effective and professional communication abilities, verbal and written
  • Project management
  • Knowledge of computer programs and software; Microsoft Office, Outlook, SharePoint, etc.
  • Ability to operate office machines
  • Ability to acquire thorough knowledge of agency’s policies and procedures
  • Ability to accomplish tasks independently
  • Ability to maintain records
  • Ability to maintain confidentiality
  • Ability to plan and organize

MINIMUM REQUIREMENTS

  • High school graduation or equivalent.
  • Three (3) years experience in a secretarial or administrative position.
  • An equivalent combination of training and/or experience may be substituted.

Job Type: Full-time

Pay: $49,000.00 – $65,000.00 per year
