ABOUT JOB

 

We are seeking a dynamic and organized Front Desk/Office Assistant to be the welcoming face and efficient coordinator of our practice. This role is vital in creating a positive first impression for patients and visitors while ensuring smooth daily operations. The ideal candidate will possess excellent communication skills, a friendly demeanor, and strong organizational abilities. You will handle a variety of administrative tasks, manage multi-line phone systems, and support office management functions to keep everything running seamlessly. This position offers an exciting opportunity to develop your administrative expertise in a vibrant, team-oriented setting.

Responsibilities

  • Manage multi-line phone systems with professionalism, answering inquiries promptly and directing calls efficiently.
  • Maintain organized filing system and medical records.
  • Support office management tasks such as calendar management, appointment scheduling, managing patient flow, staff flow and the doctor’s schedule.
  • Assist with bookkeeping activities as needed, including basic invoicing and expense tracking.
  • Provide excellent customer service by addressing inquiries via phone, text or email with patience and clarity.

Requirements

  • Proven experience in front desk operations or office administration with strong organizational skills.
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools.
  • Excellent phone etiquette with experience managing multi-line phone systems in a professional setting.
  • Strong clerical skills such as proofreading, filing, typing, and document management.
  • Knowledge of bookkeeping software like QuickBooks is a plus.
  • Demonstrated ability to multitask efficiently while maintaining attention to detail.
  • Previous experience in customer support or customer service roles is preferred.
  • Ability to manage time effectively in a fast-paced environment and prioritize tasks accordingly.
