ABOUT JOB

 

Our client is seeking a receptionist/office assistant to be the welcoming first point of contact for our office and a key partner in daily workplace operations. The ideal candidate is service-minded, organized, and comfortable using Microsoft Office tools to keep work moving.

Key Responsibilities

  • Create a welcoming first impression by greeting employees, guests, and vendors, managing visitor flow, and keeping the reception/lobby area professional and organized.
  • Answer, screen, and route incoming calls.
  • Support front desk processes such as visitor badges and parking validation information, and coordinate with facilities/security when needed.
  • Receive, log as needed, and distribute mail, deliveries, packages, and couriers; accept/sign for items and route them to recipients promptly.
  • Prepare routine correspondence, calendars, and basic tracking/logs using Microsoft Office (Outlook, Word, Excel, Teams) and other workplace tools.
  • Help set up and reset conference and training rooms (tables, chairs, basic supplies) and communicate issues to the appropriate team.
  • Stay organized and responsive when requests change and escalate questions or concerns to the appropriate team member.
  • Follow office safety guidance and support emergency procedures as assigned.
  • Pitch in on additional administrative tasks and small projects as needed.

Qualifications

  • High school diploma or equivalent required; additional office/administrative education or training is a plus.
  • 1+ years of receptionist, administrative, or office support experience preferred (or equivalent customer service experience).
  • Strong customer service mindset with professional, courteous communication (in person, phone, and email).
  • Strong Microsoft Office skills, especially Outlook, Word, Teams, and Excel; comfortable learning new systems and procedures.
  • Organized and dependable; able to track details, meet deadlines, and follow through on routine tasks.
  • Attention to detail and reliable follow-through; able to complete tasks with general supervision.
