ABOUT JOB

 

We are seeking a highly organized and technically skilled Microsoft Office Administrative Specialist to provide comprehensive administrative, operational, and project coordination support to senior leadership. This role requires advanced expertise in Microsoft Office applications, particularly Excel, PowerPoint, Microsoft Project, and Word, with a strong ability to create polished executive-level deliverables, manage project documentation, and support day-to-day business operations.

The ideal candidate is detail-oriented, proactive, resourceful, and able to manage multiple priorities in a fast-paced environment while handling sensitive information with professionalism and discretion.

Key Responsibilities: Executive & Administrative Support

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
  • Coordinate internal and external meetings, including preparing agendas, briefing materials, and follow-up documentation
  • Screen and prioritize emails, calls, and correspondence on behalf of executives
  • Prepare executive summaries, reports, presentations, and briefing packages
  • Maintain confidentiality while handling sensitive information and communications

Microsoft Office & Technical Support

  • Develop high-quality executive presentations and visual briefings using Microsoft PowerPoint
  • Create, maintain, and analyze spreadsheets, dashboards, trackers, and reports using Microsoft Excel, including advanced formulas, pivot tables, charts, and data organization
  • Utilize Microsoft Project to support project planning, milestone tracking, timelines, resource coordination, and status reporting
  • Format and edit professional documents in Microsoft Word, including templates, tables, forms, and complex formatting
  • Use Adobe Acrobat or similar tools for document editing, formatting, conversion, and distribution

Project Coordination & Operational Support

  • Assist with project coordination activities, including tracking deliverables, deadlines, milestones, and action items
  • Maintain project schedules, status updates, and reporting documentation
  • Organize and maintain electronic files, records, and documentation systems
  • Support onboarding activities, event coordination, and team logistics as needed
  • Prepare expense reports, invoices, and basic budget tracking documentation
