ABOUT JOB

 

We are seeking a highly organized and detail-oriented Office Administrative Assistant to support our daily operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various software tools. This role is vital in maintaining efficient office workflows, providing exceptional customer service, and ensuring smooth administrative functions across departments.

Duties

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Use Microsoft Office Suite and Google Workspace for document creation, editing, and communication
  • Schedule appointments, manage calendars, and coordinate meetings efficiently
  • Handle customer support inquiries via phone and email, providing excellent customer service and support
  • Maintain office supplies inventory and place orders as needed
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management tasks such as organizing files, managing correspondence, and supporting team members with administrative needs
  • Uphold phone etiquette standards when communicating with clients, vendors, and staff

Experience

  • Prior office experience is required; experience in clerical or administrative roles is highly preferred
  • Familiarity with QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry procedures is essential
  • Experience in medical or dental receptionist roles is a plus
  • Bilingual proficiency (English/Spanish or other languages) is desirable but not mandatory
  • Strong organizational skills, time management abilities, and attention to detail are critical for success in this role
  • Proven ability to handle multiple tasks efficiently while maintaining professionalism and accuracy

Job Types: Full-time, Temporary

Pay: $23.00 – $30.00 per hour
