Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Handle multi-line phone systems, screening calls, taking messages, and transferring calls efficiently
  • Perform data entry tasks using Microsoft Office Suite and Google Workspace to update records accurately
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Provide exceptional customer service by responding promptly to inquiries via phone or email and offering support as needed
  • Proofread correspondence, reports, and documents to ensure clarity and accuracy before distribution
  • Manage office supplies inventory, placing orders when necessary to keep the workspace fully stocked
  • Coordinate with other team members to streamline office procedures and improve overall efficiency

Qualifications

  • Proven experience in office management or administrative roles with a strong background in clerical tasks
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy skills
  • Familiarity with QuickBooks for bookkeeping and data entry tasks
  • Excellent organizational skills with the ability to prioritize multiple responsibilities effectively
  • Strong phone etiquette skills with experience managing multi-line phone systems and customer support interactions
  • Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
  • Demonstrated attention to detail through proofreading and document review tasks
  • Ability to handle confidential information discreetly while maintaining professionalism at all times
